Reports and analytics
Reports show you how the business is actually doing — revenue, popular services, busiest times and which customers come back. A booking counts for everything sold on it: the service, plus extras and products, less any discount. Customer credit and gift cards are not deducted because they are ways of paying rather than discounts. They are available to admins on a paid plan.
Everything lives on the Reports page in the main menu. It's a list of reports in three groups: Money, Customers and animals, and Messages. Click one and it opens in its own window, with its filters at the top and the results underneath. On a phone the window fills the screen.
Reports are for admins and accountants. Staff accounts don't see this page.
1. Paid Bookings — what you've taken
Open Paid Bookings. It shows appointments that have happened and been marked complete, so it's your record of money actually taken. Choose the dates, and optionally a payment type, staff member or service, then click Run Report.
2. Read, download or print the results
The results replace the filters, which fold into a one-line summary with a Change link if you want to adjust them. The number of bookings and the total sit under the report's name. Each booking number links to the booking. On a phone, each booking is shown as a card, so there's no scrolling sideways.
CSV downloads the results as a spreadsheet file that opens in Excel, Numbers or Google Sheets. Print / PDF prints just the report; to keep a PDF instead, choose Save as PDF in the print window.
Tick Include extras/products above the results to count anything sold alongside the appointment, not just the service itself.
3. What counts as revenue
A booking's value is everything sold on it, not just the service. That means the service price, plus any extras ticked on, plus any products added to the appointment, less any discount you gave. A £30 groom with a £7.50 nail trim and a £9 bottle of shampoo counts as £46.50, not £30.
Two things are deliberately not taken off. Customer credit and gift cards are ways of paying, not discounts — the work was still worth what it was worth, and you were paid for it out of money the customer had already given you. And a deposit isn't extra; it's part of the same price, paid earlier.
Figures may differ from what you remember, including for months already gone. Reports used to count the service price alone in some places, which undercounted any booking with extras or products on it. They now agree with your invoices and with the accountant view. Nothing about your bookings has changed — only what the reports were counting.
4. The other reports
The rest work the same way: open, set any filters, run.
- Unpaid Bookings — appointments that happened but were never settled.
- Prepaid Bookings — anything already paid for, including appointments still to come.
- Cancelled Bookings — what fell through, and who cancelled it.
- Client Credits and Gift Cards — money you're holding for customers. These have no filters, so they show their figures as soon as they open.
- Animals by Last Visit — colour-coded by how long it's been. Good for spotting customers drifting away.
- Duplicate Customers — records sharing a phone number or email, with booking counts to help you decide which to keep.
- Bookings Without T&Cs — customers who've never accepted your terms online.
- Communications Log — every text and email, and whether it was delivered.
Every report in the Money group, and Animals by Last Visit, can be downloaded as a CSV.
