Editing a booking
Open the appointment from the diary and change whatever needs changing — the time, the staff member, the service or the price. If you move it, you can text the customer the new time at the same time as saving. A prepayment moves with the booking; to make it cover a different booking instead, use Move to another booking next to Paid in Advance.
Plans change. Here's how to move an appointment, swap the service or reassign the staff member — and let the customer know.
1. Open the appointment
Click the appointment on your calendar. You can also reach it from the customer's page, or from the pet's booking history.
2. Click Edit Booking
You'll find it in Quick Actions on the right, alongside the options to take payment, copy the booking, mark it complete or cancel it.
3. Make your changes
Change the service, duration, price, staff member, date, time or location. The customer and pet are shown at the top for reference but can't be changed here — if the booking is against the wrong pet, cancel it and create a new one.
Scroll down inside the window for the mobile service and prepaid options, then click Save Changes.
4. Let the customer know
If you changed the date or time, PetDesk offers to text the customer the new details. It only asks when they're actually reachable by text — if there's no mobile on record, or they've opted out, the change just saves quietly.
5. Check it over
The booking updates straight away and the new time appears on your calendar.
Moving an appointment to a busy day? The edit window doesn't show you that day's other appointments. If you're not sure what's already booked, check your calendar first.
Moving a prepayment to a different booking
When you change a prepaid booking's date, the prepayment moves with it. If the payment should really cover a different appointment, for example after rearranging a block of bookings, you can move it without cancelling anything.
Open the prepaid booking and, next to Paid in Advance, click Move to another booking. Pick one of the customer's other upcoming bookings. The prepayment moves across, keeping the date it was paid and how, and the booking you started from is then unpaid.
- Same price: the new booking is marked prepaid.
- Cheaper: the new booking is marked prepaid and the difference goes on the customer's credit.
- Dearer: the prepayment is applied to the new booking as credit, and the booking shows what's left to pay.
